THE OPPORTUNITY

We are looking for a highly organized and self-motivated individual with strong attention to detail to join the Betterview team as an Administrative Assistant. This will provide support for many internal initiatives and will manage our day-to-day office operations. In essence, this role will provide general administrative support across either the San Francisco or Carlsbad office to ensure smooth operations of the assigned office.

WHAT YOU WILL BE DOING

  • Welcome visitors, answer questions and meeting requests directed to executives and other team members.
  • Provide administrative support to the leadership team that may include managing calendars, scheduling, travel planning including itineraries and agendas.
  • Working closely and effectively with the Co-Founders to keep them well informed of upcoming commitments and responsibilities, following up appropriately.
  • Manage conference rooms and community/shared space.
  • Monitor inventory, order supplies as needed for office space, break rooms, etc.
  • Manage all incoming, outgoing mail, shipment of items, etc.
  • Serve as local office point person for general inquiries related to the office and facilities; oversee scheduling of any office repairs and/or equipment.
  • Handle a variety of office tasks including filing, generating reports and presentations and scheduling of meetings.
  • Provide real time scheduling support to prevent scheduling conflicts.
  • Screen incoming calls.
  • Respond to and resolve administrative inquiries and questions for employees.
  • Assist the Event Coordinator in the preparation of internal and external company events.
  • Ordering/managing/shipping promotional items for employees and customers (i.e., T-shirts, coffee mugs, etc.)
  • Managing special projects on behalf of the Co-Founders and the leadership team.

WHAT YOU WILL BRING TO OUR COMPANY

  • High school diploma, Bachelor’s Degree a plus.
  • One to three years’ experience in a similar role, including previous work experience working for a startup.
  • Knowledge and high proficiency with Microsoft Office (Outlook, Word, Excel, and PowerPoint).
  • Knowledge and proficiency with Google Enterprise Suite (Docs, Drive, Sheets).
  • Proficiency in Adobe Acrobat Pro.
  • Ability to occasionally lift up to 20 pounds.
